Inventory

E-commerce inventory management software that matches your real shelf

One product list for buying, deliveries, returns and stock counts, shared by every store and marketplace you sell on. Deliveries can wait for a manager's OK before they count as stock.

Why it matters

Stock is where an online seller's money sits, and it leaks in small ways: a piece sold twice on two channels, a delivery nobody counted, a broken piece that never went back to the supplier.

Inventory records every stock change with a name and a reason, and the rest of Portantis relies on that record for reorders, supplier payments and profit. It was built inside a live store and runs there every day, covering the work that usually lives in spreadsheets and group chats: supplier pickups, stock counts, loans and supplier credits for broken pieces.

Why your stock count drifts away from the shelf

Supplier orders go out by phone, deliveries are typed in by hand, and nobody is sure that what arrived matches what was ordered. By the time a marketplace order comes in for a product you do not really have, the mistake is weeks old.

Returns pile up in a corner, broken pieces stay on the count and samples leave with no record. Every stock count means stopping orders, and the value on your shelves is a guess.

One product list behind everything you buy, store and sell

Each product lives once in your list, with its cost, suppliers, shelf place, weight and photos. Bundles, kits and free gifts are built from the same products, and your listings on Shopify, eMAG and Trendyol are linked to them. The same item sold under several codes is counted once, and every sale takes the right pieces from one shared count.

Buying runs from the same list. Each supplier gets its order with photos in its chat group after you check it. You are warned before paying too much or accepting more than you ordered, your team counts what really arrived, and deliveries can wait for a manager's OK.

After that, every stock change is recorded with who made it and why: sales, returns, broken pieces sent back to suppliers, samples, loans and counts. Your team can count stock on phones while orders keep shipping, and every finished count is saved with its value for your accountant.

In Portantis, the Inventory menu holds Needs attention, Purchasing, Catalog, Returns, Defects, Take-outs, Loans and Stocktake.

AI handles the paperwork, your team controls the stock

When a supplier sends an invoice in its chat group, AI finds the order it belongs to, so nobody retypes it. Nothing is paid until a person approves it.

AI also checks reorder amounts in the Forecast module. Sending supplier orders, approving deliveries and changing stock stay with the people you choose.

How it works

  1. Add each product onceCost, suppliers, shelf place, weight and box live in one place, so buying and shipping start from the right facts.
  2. Order from suppliersCheck the order, then send each supplier its products with photos. Your runner gets the day's pickups on a phone.
  3. Count what arrivesYour team counts what really came in, and a manager can approve it before it counts as stock.
  4. Sell from one stockEvery store and marketplace sells from the same count, and you see what open orders have already taken.
  5. Settle what comes backGood returns go back on the shelf, broken pieces wait for the supplier's replacement or credit, and every change has a reason.

What changes for you

  • One stock count for every store and marketplace
  • Deliveries counted before they become stock
  • Stock counts without stopping orders
  • Broken pieces followed until the supplier credits them
  • Every change signed with a name and a reason

Inventory, feature by feature

One stock count for Shopify, eMAG and Trendyol

Your store and your marketplaces sell from the same stock, so every sale takes real pieces from one count and the same piece is never sold twice.

  • Marketplace listings you have not linked yet wait in one list with suggestions. Nothing changes until someone picks the right product.
  • Pack sizes are set once per listing, so every sale takes the right number of pieces.
  • Two codes for the same item can share one stock, so it is never counted twice.
  • Listings you do not stock can be set aside, and their order history stays.

Marketplace listings and pack sizes line up with your real products without a spreadsheet, and one count serves every channel.

Bundles, kits and free gifts that keep count

Build kits and gift offers from your products. Every sale takes the right pieces of each part, and each kit's cost follows what you paid for its parts.

  • You choose whether a kit has its own stock or uses only its parts.
  • Every kit sale takes the right pieces of each part, packs included.
  • A free gift can cost nothing inside one kit, while keeping its normal cost everywhere else.
  • Your store shows the right kit cost, and kits can also stay internal and never appear in your store.

Gift and kit offers stop draining stock you cannot see, and each kit's cost stays right when part prices change.

Supplier orders sent with photos

Build a supplier order from your products, check it, and send each supplier its products with photos in its own chat group. You can follow the order until the goods arrive.

  • Each supplier gets one clear order with a photo of every product, in your own wording.
  • Nothing goes out until someone checks the preview and confirms. Suppliers that could not be reached are listed, never skipped quietly.
  • If you want, AI fills in the product names your suppliers use. Names you already set stay as they are.
  • Follow each order until it arrives, print or export it, and ask a supplier about many products in one message.

Ordering from many suppliers becomes one checked send, with no names, quantities or photos copied into separate chats.

Catch overpaying and counting mistakes on delivery

Paying too much, short pickups and counting mistakes are caught on the day the goods arrive.

  • You are warned before paying more than your target cost or taking more than you ordered.
  • Your team counts what really arrived, and any gap with what was picked up is flagged.
  • You choose whether a manager must approve each delivery before it counts as stock.
  • Later fixes need a written reason and show who made them and when.

Overpayments, short pickups and counting mistakes are caught while the delivery can still be checked.

Stock counts on phones without stopping orders

Count your whole warehouse on phones or printed sheets while orders, deliveries and returns keep moving.

  • Your team counts what is really on the shelf, not what the system expects.
  • You see each counter's progress and every difference with its value before anything changes.
  • Products nobody counted stay as they are unless you decide otherwise.
  • A wrong count can be undone in one step, and every finished count is saved with its value for your accountant.

Count day no longer stops shipping, and a wrong count is undone in one step.

Customer returns and refunds, done right

Log each return with its order, parcel and refund, put only good pieces back on the shelf, and know where the legal return rules stand before anyone refunds.

  • Only good pieces go back on sale. Damaged ones are kept apart.
  • Returns already covered by a stock count are not added twice.
  • Refunds reach Payments with the customer's bank details checked, and the proof of payment stays with the return.
  • Before you refund, you get a recommendation on the legal return rules and a list of what still needs checking. It never approves or pays a refund on its own.

Refunds rest on recorded dates and evidence, and damaged pieces never go back into sellable stock.

One product catalog with real costs

One catalog holds each product's cost, pack size, weight, size, box and barcode, and shows what each product really cost you.

  • Profit per product uses what you really paid, not a guess.
  • Fix a wrong purchase price and see how it changes your profit before you save.
  • Weights that look wrong are flagged, and products missing weight, size or box are caught before they cause courier mistakes.
  • Import your barcodes once. Duplicates are caught, and each new product gets the next free code.

Profit per product uses what you really paid, and courier costs start from correct weights and boxes.

Warnings about stock mistakes

Portantis watches your stock for signs of a mistake and shows each one with the product and the numbers involved.

  • Deliveries that do not match what was ordered or picked up are flagged.
  • Stock that drops below zero, or sits untouched for a long time, is flagged.
  • Returns and parcels nobody finished, and orders marked sent that never left, are raised before they are forgotten.
  • Products missing weight or size go to the team members you choose.

Mistakes surface while the delivery, receipt or parcel can still be traced.

Pickup list on your runner's phone

Runners who collect goods from suppliers see today's pickups by place and record price, quantity and the invoice as they go.

  • Pickups are grouped by place, in the route order you choose.
  • Price, quantities and the invoice are recorded before a pickup is done, so nothing is missing later.
  • Paying more than planned, or a supplier running low, is flagged on the spot.
  • Runners see only today's list, and cash purchases go straight into your expenses.

Pickup days end with complete purchase records, prices and invoices, without retyping notes from a paper list.

Broken stock, samples and loans on record

Stock that leaves the shelf without a sale keeps its own record: broken pieces until the supplier replaces or credits them, samples and gifts, and loans until they come back.

  • Broken pieces leave sellable stock, and their value stays on record until the supplier settles.
  • Each defect shows where it stands with the supplier, from handover to replacement or credit.
  • Samples and gifts, for staff or creators, are logged with who got them and what they were worth.
  • Lent products stay out of sellable stock until they come back, and late ones show as due.

The value lent, given away or waiting on suppliers is on record before the next count finds a gap.

What you can do with Inventory

  • Sell one product in several ways

A lamp sold alone in your Shopify store, as a two-pack on eMAG and inside a kit on Trendyol comes from one shelf count. Every sale takes the right number of pieces.

  • Add a free gift without losing count

Add the gift to a best seller's kit at no cost. Every order takes the gift from stock, so your shelf count and the kit's cost both stay right.

  • Rename a product code without losing history

Replace a messy product code with a clean one. Its sales, profit and stock history come along, and your Shopify product gets the new code too.

  • Settle broken stock with the supplier

Take a damaged batch off the shelf and note the supplier. When the replacement or credit comes, log it. Open cases show the value still owed by suppliers.

  • Lend products and get them back

Log a product lent to a photographer or a creator with a return date. It stays out of sellable stock until it comes back, and anything late shows as due.

  • Buy and track your own packaging

Buy tape, boxes and bags the same way you buy products. They never show in your store and never clutter your stock counts or reorder list.

  • Retire old products and keep their history

Archive old products in bulk and they drop out of buying, stock counts and reorder suggestions. Their history stays, and you can bring them back any time.

Questions about Inventory

What is Inventory in PortantisAI?

Inventory is the PortantisAI module that keeps one product list behind everything you buy, store and sell. Supplier orders, deliveries, returns and stock counts all run from it, and your Shopify store, eMAG and Trendyol sell from one shared stock count, so every sale takes the right pieces.

Does one stock count cover my store and every marketplace?

Yes. Your store and every connected marketplace sell from the same stock, so the same item is not sold twice. Listings and pack sizes are linked to your real products, and you always see what is on the shelf, what open orders hold and what you can still sell.

How does it catch delivery mistakes?

Your team counts what really arrived, and you are warned before accepting more than you ordered. Deliveries can wait for a manager's OK before they count as stock, later fixes need a written reason, and deliveries that do not match the pickup are flagged.

Can we count stock without stopping orders?

Yes. Your team counts on phones or printed sheets while orders keep shipping. You see every difference with its value before anything changes, and a count that went wrong can be undone in one step.

How are returns and broken pieces handled?

Each return is logged with its parcel and refund, then sorted into good and damaged. You get a recommendation on whether the return meets the legal rules before you refund. Broken pieces leave sellable stock, and their value stays on record until the supplier replaces or credits them. A check of the courier's daily returns list is coming soon.

Does AI order stock by itself?

No. AI finds the right order for supplier invoices and, in the Forecast module, checks reorder amounts. Supplier orders go out only after your team checks them, and stock changes stay with the people you choose.

What else in Portantis depends on the stock record?

Ad suggestions, reorder suggestions and supplier payments all rely on it. If the stock record is wrong, so are they, which is why Inventory is the base the other modules build on.

How are products sold in packs counted?

Stock is kept in single pieces, so selling a pack of six takes six pieces off the shelf. Packs, singles and kits share one count and one cost.

Will Portantis change my Shopify products?

Only in ways you allow. New Shopify products are checked before they join your catalog, and later changes wait for your decision. Weights, sizes and warehouse places go to Shopify only if you switch that on. Item costs and sold-out labels follow your real purchases and stock, and a renamed code is renamed in Shopify too.

Who can approve deliveries and run stock counts?

You decide by role. Managers approve deliveries. Runners see only today's pickup list and cannot create orders or manage suppliers. People you trust can run a stock count without full admin access.

How do I check where a stock number came from?

Open the product's stock page. It shows every change since the last count, from deliveries and returns to sales, samples and loans, so you can see how today's number came about and who changed what and why.

Can I record where each product sits in the warehouse?

Yes. Create places such as a shelf or a room and give each product one or more. They show on the runner's pickup list and the printed count sheets, and can be sent to your Shopify products.
