Tasks

Task management for e-commerce teams, without the phone calls

Everyone sees today's work, repeating jobs appear on their own and finished work waits for a manager's check. You also decide here who can see and do what across Portantis.

Why it matters

Small online shops run on the owner's memory, so work stalls whenever the owner is busy or away.

Tasks gives every person a daily list, repeating work and a manager's check, and it is also where the owner decides who can see and do what, and when to pause automation and AI spending, across all of Portantis. That lets an owner hand work to people and to automation without losing control, inside the same system that already runs a live store's orders, delivery and stock.

The owner turns into the team's switchboard

In a small online shop, the plan for the day lives in the owner's head. Every question about what to do next becomes a call or a message, and the owner spends the day answering instead of deciding.

Routine jobs slip the moment the owner is away, and work gets called done without anyone looking at it. Nobody knows who is behind without asking around.

A daily list for each person, a check for each result

Each person opens Today and sees what is due, what is late and where to start. Managers see everyone's day and past week on one screen, and who is running late. The same work can be moved on a board, sorted in a table or planned on a calendar.

Repeating work, daily to yearly, appears on its own, and a skipped day stays on record. Finished work waits in To check until a manager accepts it or sends it back with a reason. Reports show results per person and department by week, month, quarter and year.

Tasks is also where you decide who can see and do what in Portantis: roles, page by page access, and separate permission for sensitive actions such as approving payments. One switch pauses all automation or AI spending at once.

Tasks is in the menu with Today, Team, Board, Table, Calendar, Routines, To check, Done and Reports. Roles, invitations and permissions are in Settings, Team.

No AI in Tasks yet, and what is coming

Tasks has no AI today. People hand out the work, do it and check it here, and alerts and approvals from other parts of Portantis reach the right person.

Coming next: voice notes on tasks, a team chat side panel next to your work, targets for every role with a weekly summary, step-by-step guides made from recordings of real work, and an assistant that handles routine internal jobs and answers your team's questions about the business.

How it works

  1. Set up repeating work onceDaily, weekly, monthly or yearly jobs appear on the right days, and nothing is skipped quietly.
  2. Each person opens TodayWhat is due, what is late and where to start, most urgent first.
  3. Work moves without phone callsChecklists, comments and a note on who you are waiting for keep work moving, and people hear when it reaches them.
  4. A manager checks itFinished work is accepted, or sent back with a reason, before it counts as done.
  5. Reports show the resultsResults per person and department by week, month, quarter and year, for owners and admins.

What changes for you

  • Late work visible by name
  • Repeating work never forgotten
  • Finished work checked before it counts
  • Each person sees only what they should

Tasks, feature by feature

A daily to-do list for each person

Each person opens Today and sees their work in the order it should be done, with one clear place to start and a warning when the day holds too much.

  • Work sent back by a manager, and questions a colleague is waiting on, are never buried.
  • Late work stands out, so it cannot hide at the bottom of a list.
  • When a day holds more than one person can finish, the list says so and suggests what can wait.
  • The menu shows how much needs attention today, so nothing is forgotten.

People start each day on the task that matters most, and the owner stops answering calls about what to do next.

Repeating work that sets itself up

Set up a routine once, with its checklist, and the task appears every time it is due. A day nobody finishes stays on record, so skipped work never disappears quietly.

  • You pick the rhythm: every day, weekdays, chosen days of the week or month, every three months or once a year.
  • Month-end work lands on the last day of every month, short months included.
  • You choose whether a missed day is simply recorded or stays on the list until someone catches it up.
  • Each routine shows how well it has been kept lately, and you can pause it at any time.

Repeating work no longer depends on anyone's memory, and every skipped day stays on record.

A manager's check before work counts as done

Work that needs a second look waits in To check when it is finished. The checker sees what was done, then accepts it or sends it back.

  • The checker sees the person's note, the steps ticked off and whether it was finished on time.
  • Sending work back needs a reason, and the task goes straight to the top of that person's list.
  • Team members do not sign off their own work: a second person checks it.
  • For important tasks, the person confirms the job is truly finished, not just started, before marking it done.

Half-finished work stops being reported as done, and every task that needs it has been looked at by a second person.

See who is late or has too much on

Team puts every person's day on one screen: what is done, what is late, what waits for a check and who has more work than they can finish.

  • Each person shows today's progress, late work and work waiting for a check.
  • A view of the past week shows when someone's week is slipping, before it ends.
  • People with more work than they can finish are flagged, so you can move tasks in time.
  • Open a person to see their day, or their tasks on the board.

Managers see who is falling behind midweek and move work before deadlines pass.

Clear results for each person and department

Reports show finished, late and missed work per person and per department by week, month, quarter or year, each compared with the period before. Owners and admins see them.

  • For each person: work due, finished, on time, late and missed, time spent and points.
  • Late work is listed with how late it is, and a moved deadline still shows its first date.
  • A look at the week ahead shows who will have too much on, before it happens.
  • Goals show how much work is done and still open toward each target.

Performance talks rest on the same numbers for every person.

Reminders and a team summary

People hear about work that concerns them when it happens, get a reminder when a deadline passes, and your team chat gets a short summary of who finished what.

  • The right people hear when work is given to them, finished, sent back or commented on. Nobody is notified about their own action.
  • A missed deadline brings a reminder, without endless repeats.
  • You choose how often the team summary arrives: every weekday, every day or once a week.
  • Private work is counted in the summary but never named, and each person also sees their own week at a glance.

The owner reads the day's result in one message, and colleagues are no longer chased for updates.

Points that reward important work

Finished tasks earn points, so effort across the team is measured on one scale, and important work done early counts for more.

  • More important work earns more points, and finishing early earns extra. A late finish costs nothing, so a hard week is not held against anyone.
  • A simple guide helps people choose the right priority when they create a task.
  • Open work is grouped into do now, plan for later, hand to someone or drop, so the team spends time where it counts.
  • A task can be linked to a company goal, with a backup person named.

Recognition goes to important work finished early.

Team permissions and private departments

Each role starts with sensible permissions, you can change single permissions for one person, and private departments keep payroll or HR work away from the rest of the team.

  • Members work on their own tasks. Moderators also hand out and check work. Owners and admins manage departments and goals.
  • Give or take away a single permission for one person without changing their role. Nobody can raise their own access.
  • A private department's work is seen only by managers and the person doing it, so payroll and HR stay private.
  • Archived departments and goals keep their history and can be brought back at any time.

The owner hands out work without exposing salaries, contracts or management matters, and without giving anyone full admin access.

Pause automation and AI spending at once

Owners and admins can pause new automation, new AI spending or both from one screen, and set their own spending limits.

  • Two separate switches: one pauses automation, the other pauses AI spending.
  • Set your own limits on how much automation runs and how much AI can spend.
  • Every change asks for a reason and is saved with who made it.
  • Work already finished stays where it is.

A runaway automation or an unexpected AI bill is stopped from one screen before it grows.

Contracts and procedures that stay current

Contracts, certificates and procedures are stored privately, by company, firm or person, with expiry dates and a named person reminded before each review is due.

  • Keep PDFs, photos, documents and spreadsheets for the whole company, one of your firms or one person.
  • Each document can have an owner, the people it is for and a next review date, and you choose how early the reminder comes.
  • A review counts only after the reviewer has opened the file, and every review stays on record.
  • An expired document stays marked as expired, even after a review.

Procedures stay current and contracts do not lapse unnoticed, with no spreadsheet of renewal dates to keep.

What you can do with Tasks

  • Run payroll work in a private department

Create a Payroll department and make it private. Its tasks are seen only by managers and the person doing them, and the team summary counts them without naming them, so salary work never shows in the team chat.

  • Set up month-end jobs once, for good

Add a routine for salaries mid-month and on the last day of the month, with its checklist. The task appears every month, February included, and if you want, it stays on the list until someone does it.

  • Rebalance a teammate's week in advance

Reports show the week ahead for each person. When someone has too much due on one day, move what is not urgent to a colleague or a later day before deadlines pass.

  • Give a new hire limited access

Invite them as a member, choose what they can see and change on each page, then view Portantis as them to check. A designer account works on product pictures and videos with money and stock figures hidden.

  • Reward early, important work fairly

Points favour important work and work finished early. The weekly points chart shows who closes important work ahead of time, not who ticks off the most small tasks.

  • Keep procedures current

Store each procedure with a review owner and a next review date. The owner is reminded ahead of time, must open the file before confirming, and every review stays on record.

  • Stop new AI spending in one place

When an automation misbehaves or a bill looks wrong, an owner or admin pauses new AI spending from one screen, writes why, and turns it back on when it is fixed. Finished work stays.

  • Tie daily work to quarterly goals

Add a goal, such as a customer satisfaction target, and link tasks to it. Reports show finished and open tasks toward each goal, and you can see which goals have no open task moving them forward.

Questions about Tasks

What is Tasks in PortantisAI?

Tasks is the PortantisAI module that gives every teammate a daily to-do list, sets up repeating work on its own and holds finished work until a manager checks it. It is also where you decide who can see and do what across Portantis, and one switch pauses all automation or AI spending at once.

Is there AI in Tasks?

Not yet. People hand out the work, do it and check it here, and alerts and approvals from other parts of Portantis reach the right person. Coming: voice notes, a team chat side panel, targets for every role, step-by-step guides made from recordings of real work and an assistant for routine internal jobs.

Can I hide costs and margins from some people?

Yes. For each person and each page, you choose whether they cannot see it, can only look or can make changes. Designers can manage product pictures and videos without seeing prices, costs, margins, stock or sales, and warehouse-only accounts see only their own work. You can view Portantis as a teammate to check what they see.

What happens when a routine day is missed?

The missed day stays on record, so it never quietly disappears. If you want, the work also stays on the list as late until someone does it.

How do I know work was actually done?

Finished work waits in To check until a manager accepts it or sends it back with a reason. Tasks can carry checklists and comments, and reports show each person's and department's results to owners and admins.

Can I limit what automation and AI spend?

Yes. One switch pauses all automation or AI spending at once, and you can set your own spending limits. Every change is kept with who made it and why. Sensitive actions such as approving payments are allowed or blocked per person, apart from page access.

How do task points work?

Finished tasks earn points, more for important work and extra for finishing early. Finishing late takes nothing away, so the score rewards good work without punishing a hard week.

Who can see tasks in a private department?

Only managers and the person doing the task. The team summary counts those tasks but never shows their names. Work that owners and admins give each other is kept private from moderators too.

Does the team get reminded about overdue tasks?

Yes. When a deadline passes, the person gets a reminder, without endless repeats. Late work also stands out in every list, so it is easy to spot.

Does moving a deadline hide that a task was late?

No. A task keeps its first due date and shows it next to the new one, on the task, in To check and in the late work report, so a moved deadline is always visible.

Can several people work on one task?

Yes. One person owns the task, others can join and see it in their own lists, and a backup person can be named. A task that depends on others stays open until they are finished.
